Automated Appointment Reminders: Boost Show Rates Effortlessly

Do you have a never-ending list of appointment reminder calls to make? Not any more. 

Now, Toma makes it effortless to improve your appointment show rates by reaching out, confirming, canceling, or rescheduling appointments for you. 

How Does It Work?

We’ll configure appointment reminder intervals at strategic times [defined by you] to remind customers about upcoming appointments. For example, you can remind customers three times: 

  • 24 hours before
  • 2 hours before
  • 30 minutes before

Additionally, we can schedule calls during specific windows (e.g., between 10 AM and 2 PM) to reach customers conveniently, like during their lunch breaks.

If customers need to cancel or reschedule, the system takes care of it immediately.


Setting It Up

To activate this feature:

  • Email our support team at support@toma.com.
  • Specify your preferred reminder times and call windows.
  • We'll set everything up according to your dealership’s needs.

Limitations to Consider

  • Booking Channel: Reminders are sent only for appointments booked through Toma.
  • Appointment Updates: If you manually change a Toma appointment [in your scheduler] within 10 minutes before a scheduled reminder call, the original reminder might still go out.
  • Spam Calls: To minimize spam markings, register your number with the FCC here.

Scenario 1: Standard Reminder
Sarah gets a reminder call 24 hours before her service appointment. She confirms easily and attends as planned.

Scenario 2: Last-Minute Cancellation
Mike needs to reschedule two hours before his maintenance. The automated call helps him reschedule, instantly freeing his original slot.
